Repeat and trade orders

A repeat order is a line list held against an account so it does not have to be typed again. This sheet covers how one is set up, how a standing quantity is held and reviewed, and how a collection by your own carrier works.

Setting up

A list sent once and held

  1. Send the list once

    Line codes and quantities, with the pack level stated: singles, inner packs or outer cases. Give the sheet a name you will recognise when you call it off.

  2. It is held as a standing sheet

    The list is held against the account with its name, the pack levels and the quantities as sent. It is a stored list, not a reservation of stock.

  3. Call it off by name

    One email naming the sheet is a full order. Nothing has to be retyped and nothing is assumed about quantities you have not mentioned.

  4. The desk reads it back

    The lines and quantities come back by email for confirmation before the sheet joins a pick list, so a quantity that has drifted is caught before anything is picked.

  5. It joins the next sheet

    Once confirmed, the order takes its place on the current file and is subject to the same cut-off as anything else: sheet 03.

Standing quantity

Holding a quantity and reviewing it

A standing quantity is the number held on the sheet against each line. It is reviewed at every call-off rather than left to run: the read-back email is the review, and changing it is a reply to that email.

Quantities on a trade sheet are usually held at outer-case level, because a case is picked unopened and counted once. Where a line is held in cases, one unit on the sheet means one case and the case quantity is the figure on sheet 06.

A line can sit on a sheet at zero. That keeps the code and the pack level recorded for a line ordered occasionally, without it being picked each time the sheet is called off.

Paperwork

Your reference on the note

A reference of your own, given with the call-off, prints on the packing note in each parcel. For a goods-in bay at the far end that is the difference between a parcel that books itself in and a parcel that waits on a desk while somebody finds out what it is.

Where an order is split across parcels, each note carries the same reference and covers only the lines in its own box, so a count can be made per box as it arrives.

Collection

Taking it away on your own carrier

A trade order can leave on a carrier you have arranged, collected from the goods-out door. You raise the consignment and book the collection; we stage the cage for the day you give us and send the parcel count and the weight of each parcel so your labels can be raised against real figures rather than estimates.

The handover at the door works the same way as any other collection: your driver scans or signs for the parcel count, and that count is agreed at the door. After that the consignment is yours and the scans are on your carrier's page, not on one we can see.
